You will receive an e-mail from Visit by GES containing your unique link for registration. With this link, you will be able to set up your account and create a password.

Exhibitors will receive 6 complimentary booth personnel badges per 10’ x 10’ (100 sq. ft.) exhibit space

Audio Visual Equipment (AV) Order Form

Booth Design Approval

All booths (10 x 20 or larger) are required to submit a measured line drawing of the booth property to be installed at IoT World/CAV. This drawing should detail all measurements for all structures including heights and dimensions for any hanging signs. Drawings must be submitted by Thursday, July 2, 2020 to jean.cadwell@informa.com.

 Event Management has the right to prohibit any exhibitor move in or booth set up if the drawing has not been received in advanced and approved.

Booth Cleaning

Booth Cleaning services are the Exhibitor Responsibility. Cleaning Services can be arranged via Freeman. Please see the Exhibitor Kit for Ordering information or visit Freeman Online

Booth Equipment

Each 10’ x 10’ booth will be set with 8’ high black back drape and 3’ high black side drape. The booth will also include a complimentary 7” x 44” two-line identification sign.

Electricity, furnishings, displays and any other items needed are the responsibility of the exhibitor.

COI (Certificate of Insurance) Submission

All exhibitors must carry and maintain insurance. These requirements are stated in the terms and conditions section of the booth contract

VIEW
Display Vehicles in Exhibitor Booth

Event Management and the Fire Marshall must be notified in advance if motorized vehicles are to be displayed during an event, and approval must be obtained in advance from Event Management and the Fire Marshall before motorized vehicles may be exhibited within the convention Center.

EAC (Exhibitor Appointed Contractor) Forms & Rules

Exhibitors must notify IoT World Show Management of the intention to utilize an independent contractor by July 2, 2020.

Failure to submit the EAC form and/or the COI by the deadline below will result in delays to access the show floor or denial of access.

Electric is not included in the booth space. Freeman will provide for electrical needs in your booth.

Excessive Trash & Booth Abandonment

Any excessive trash which consists of display materials, carpet, padding, crates and/or pallets will be disposed of and charged both a handling fee and a disposal fee during exhibitor move-in. Excessive booth materials and/or literature left in the booth at the end of published exhibitor move-out that is not labeled for an outbound shipment will be considered abandoned and deemed as trash. The exhibitor will be charged for the removal and disposal of these items. Charges may include Installation & Dismantle Labor, Forklift & Rigging Labor, and/or Dumpster Fee.

Exhibit Hall Security

Security Guards and Badge Checkers will be stationed throughout the exhibit hall on a 24-hour basis and will patrol the floor during non-show hours. Every reasonable effort is made to prevent losses. The final responsibility, however, lies with the exhibitor. It is advised that items such as laptops, small monitors, or anything which is easily accessible/moveable NOT be left unsecured in a booth during the day or overnight.

Food & Beverage

Food and beverages are not permitted on the premises unless purchased through the San Jose Convention Center. Food or beverages may not be brought in or delivered to the San Jose Convention Center for personal consumption.

FOOD/BEVERAGE DISPENSING
Exhibitors may not dispense food and/or beverages of any kind, including bottled water, without written permission from the San Jose Convention Center Catering department. Food and/or beverage purchased outside of the San Jose Convention Center may not be brought into/or consumed within the San Jose Convention Center. San Jose Convention Center is solely licensed to sell, dispense, and/or serve alcoholic beverages. San Jose, CA Law prohibits alcoholic beverages from being brought into the San Jose Convention Center.

Lead Retrieval Order Form & Info

Attendee badges can be scanned to help you quickly capture pertinent information for follow-up after the show. By ordering GES/Visit Lead Retrieval system, exhibitors are able to easily and accurately collect data from attendees in their booths. These units are available in advance only, and must be ordered by TBD from GES/Visit. They will not be available on site for rental.

Material Handling

Any materials received by Freeman are subject to Material Handling Charges and are the responsibility of the Exhibitor. This also applies to items not ordered through the Official Show Vendors. Move-Out Guidelines

All Exhibitors and Exhibits must remain in place until the close of the Expo floor.

DISMANTLE AND MOVE-OUT INFORMATION:
All exhibitor materials must be removed from the exhibit facility by 10:00pm Thursday, August 13, 2020. To ensure all exhibitor materials are removed from the exhibit facility by this Exhibitor Move‐Out deadline, please have all carrier’s check‐in by Thursday, August 13 by 2:00pm.

Photography & Filming

Exhibitors must authorize all photographs of their booth!

Rigging

Freeman is the Official Services Contractor for this upcoming show. As the Official Services Contractor, Freeman has the responsibility for all suspended rigging services not exclusive to Specialized Event Services.

Shipping

Freeman will start accepting freight at the advance warehouse on July 10, 2020. Any shipments received after August 3, 2020 will incur additional charges.

Freeman will start accepting freight shipped to show site on August 10, 2020.
