RAI Amsterdam has a rich history. What started in 1893 as an association for the bicycle industry has grown into an internationally leading trade fair and conference organisation in just over a century. Many valuable meetings have taken place, often with prominent people. For example, at a public meeting in 1968, Martin Luther King addressed hundreds of people about change. During AIDS2018, Bill Clinton and Prince Harry, among others, spoke to those present about the impact of the global epidemic. Major bands and artists have taken our stage, such as Frank Sinatra, Ike & Tina Turner and U2. During these events, people have been inspired and/or knowledge was shared. Over all these years, we have gained enormous experience in how to set this in motion.

CLOAKROOM
The cloakroom is located at Entrance F at the RAI and is open on live event days. All attendees can deposit their luggage and coats free of charge during the cloakroom opening hours.

Event build up
Before arrival at the RAI 2 actions are required:
- Register for a build-up and dismantling badge to have access to the halls
- Reserve a time slot for vehicle access at the P5 loading dock
Register for a build-up and breakdown badge
All vehicles that need to (un)load for build-up and breakdown can enter via the P5B loading dock during build-up and dismantling hours. Regular cars can park in the RAI garages.
The builders need to register for a build-up and breakdown badge before arrival at the RAI with the following link:
When registering on line, you receive a QR code by mail. With this code you can print a badge at the scan & go point at the loading door 8.6 upon arrival.
Reserve a time slot for vehicle access to the P5B
All vehicles that need access to the loading dock need to reserve a time slot via the RAI Logistic Management System (RLMS)

Parking:
After unloading, the trucks can stay at the P5 during build-up hours upon availability. Vans up to 2.70m will be sent to the P4. Cars can park in the garages.
Parking during build-up and breakdown hours is free of charge. Builders-Exhibitors can scan the barcode on the build-up badge at the exit of the garage.
Parking at event days:
- Cars and vans up to 1.90m can park in the P1, P2, P3, P4
- Vans higher than 1.90 and up to 2.70m can park in the P4 garage
- Vans higher than 2.70m and Trucks can buy a lorry parking pass at the loge P5.

Your Stand - Space Only
You will be provided with a space on the exhibition floor only. It is your responsibility to utilize and build in this space. Please check your contract for the exact size of your floor space and plan accordingly.
What next?
- You will be required to provide detailed stand plans for your space that adhere to the Network X Design Instructions
- Please read the Informa Rules & Regulations Handbook thoroughly before starting the design
- Please complete the HEALTH & SAFETY FORM
Deadlines:
23rd August - Double Decker Space only Stand Plans & H&S Form Submission – stand plan required by Informa & the RAI. Note: the RAI charge for a double decker permit to build.
13th September - Single Storey Stand Plans & H&S Form – stand plan required by Informa
*Once submitted, should your design be classed as complex you will be expected to provide & pay for structural calculations for your stand.
IMPORTANT: Please ensure you order the proper amount of waste containers for during build up and break down. Contractors and exhibitors leaving any waste on their stand will be charged extra. Please note there is CCTV in the halls to ensure leftover rubbish is matched with the contractor.

Your Stand - Shell Scheme

1. Complete the HEALTH AND SAFETY FORM by 13th September
2. Log into the EESL Portal to complete additional orders and confirm your stand name for your Fascia/Nameboard
3. Order additional items as required from the Event Orders section on the manual
*All adapters & extension leads must be provided by exhibitors. Informa Tech will not be able to provide these onsite.
**The only items allowed to affix items to shell scheme walling is blu-tac or hook and loop velcro. Anything other than this (like tapes/pins etc.) will cause damage/leave residue that would then result in the panels being damaged and a fine being issued to the exhibitor.
Your Stand - Shell Scheme Meeting Room

Want to upgrade your shell meeting room?
EESL are able to upgrade clients at a cost of £191 per sqm for thicker walled meeting rooms
The upgraded package would include
- Thicker panels
- 2.5m high to match shellscheme height
- a Perspex window and blind for privacy
- an ash coloured door and logo to the front
- Same furniture, power, lighting as per the standard shell meeting room package inclusions

Your Stand - Pod

2. Ensure we have received your logo for the backboard (Alternatively if you want to upgrade to a full graphic backboard please reach out to Sophie Howe for costs, specs & to order)

Health and Safety
Health & Safety at our shows is extremely important to keep EVERYONE safe.
Before arriving onsite we ask that all exhibiting companies to complete the Health & Safety form. Whether you have a space only stand, shell scheme stand or a pod it's equally important you read through the Informa Tech Rules & Regulations Handbook & complete the H&S form.
If the form has not been complete, or not complete to the appropriate standard, Informa Tech organizers reserve the right to refuse build/admission to the show or ask you/your stand contractor to resubmit the form with further information.

Event Orders
SHOW CONTRACTOR
The official show contractor is Event Exhibition Services (EESL). They will be building the exhibition and feature areas at the event and will also supply the following:
- Furniture & storage solutions
- Carpet
- Bespoke exhibition stand & hospitality suite builds
- Freestanding graphics & signage
- Additions to your shell scheme stand, such as branding, storage, additional power, lighting, shelving, or reinforcement of panels to mount TV screens
- Graphics &/or TV screen for your start-up pod.
To order please go to the EESL online ordering portal.
You will need to log in (if you have used their website before) or alternatively register with their website. When prompted, please enter the show reference code: NetworkX2022. You will then be able to place your order.
Important: The order deadline date is 16th September. EESL need to have received your order and full payment by this date to avoid a 20% late order surcharge.

AUDIO VISUAL
Event Pro are the official audio-visual supplier for Network X. Whether you need TV screens, full video walls or anything in between, they can help!

INTERNET
Basic complimentary WiFi is available throughout the venue, suitable for browsing and email. If you require a faster, guaranteed connection or other services then you need to order this through the RAI. They can provide WiFi upgrades, hard-wired connections, VoIP phone connections and optional on-site engineering support.
You are welcome to setup your own wifi within the RAI Wifi Terms and Conditions. Wifi can never be guaranteed, and the RAI do not recommend exhibitors to use the wifi for product demos.

POWER
Shell scheme booths and start-up pods receive 1x 1000W power outlet as part of the package. Space only booths do not receive any outlets. Any additional requirements for exhibit booths must be ordered from EESL via the EESL online ordering portal.
If an overnight power supply is required, you’ll need to make sure EESL are aware so they can assess if an overnight electrician is needed and quote you for the relevant staffing costs if so.

CATERING
IMPORTANT: external food is not permitted on site. There will be catering stations around the venue during the event where you can grab a drink or a bite to eat. If you require catering for your exhibition stand, then you should arrange this through the RAI. They have a wide range of offerings to suit all needs, but we recommend you start these conversations early to ensure supply.

RIGGING
Mansveld Expotech is the RAI's experienced rigging partner. To ensure everyone's safety, third-party rigging is strictly prohibited. The rental, assembly and disassembly of truss systems and electric and manual hoists can be easily arranged through Mansveld Expotech.
Application form
- Download the rigging order form
- Print the form and fill it out
- Include a blueprint and the dimensions of your stand position, suspension points, stay wires and steel wires as well as the weight of any rigged items

Rules for rigging:
- Rigging is only allowed above your own stand
- To the maximum height outlined in the the guidelines for rigging in the RAI
All applications submitted up to 28 days in advance of the event will receive a 20% discount

STAND CLEANING
Informa Tech will cover the cost of stand cleaning before the show opens, if you wish to order daily cleaning you must do so via the RAI portal.
The RAI offer one time or daily cleaning services as per below:
1. Basic
Vacuum clean the stand and, if necessary, mop, clean horizontal surfaces of furniture and empty the bins.
2. All-inclusive
We will come to you in advance to make arrangements about the cleaning of your stand. In addition, we will of course vacuum the floor, mop. We clean all parts of the furniture, empty trash bins, washing windows and walls including the outside of showcases.

WASTE COLLECTION SERVICE
The RAI offer various services for waste collection. From small to large amounts of waste. The collection service for garbage bags is the most convenient for processing normal conventional waste, but separate or larger quantities can also be collected.

The RAI is accessible via a variety of different modes of transport. Detailed information on getting to the venue and transport options can be found here or click here to plan your route
VEHICLES & PARKING
We would like to encourage visitors to use public transport to get to the event where possible.
Parking at the RAI complex is easy and affordable. The multi-storey car park is easily accessible thanks to its location next to the A10 motorway by Exit 9. The RAI is signposted on road signs on the ringway.
Parking during the exhibition
- Vehicles up to 1.90 m can park in all our garages
- Vehicles up to 2.70 m can park in garage P4
- Vehicles above 2.70 m and/or longer than 6 m can park on the daytime car park for lorries. Report to the security gate on the P5 work deck and the parking attendant will show you your parking spot. It is not possible to make a reservation for this type of vehicles.

IMPORTANT:
- Please do not send any packages direct to the venue by post or courier, as the venue or Informa Tech will not sign for the goods on your behalf.
- Onsite storage during the event is only available if you have placed a handling & storage order with EF-GSM. We advise doing this for the quickest access to empty crates at the end of the show.
- All materials must be cleared by 12pm on Friday 21st October. If you cannot arrange collection before then, please contact EF-GSM to arrange for your items to be moved to their warehouse for collection at a later date.

CODE OF CONDUCT

Exhibition and party staff should not use sexualized clothing/uniforms/costumes, or otherwise create a sexualized environment. Participants asked to stop any behavior are expected to comply immediately. If a participant or sponsor engages in behavior that violates this code of conduct, Informa Tech staff may take action they deem appropriate, including warning the offender or expulsion from the event with no refund.
