PRE-EVENT CHECKLIST

In order to have a smooth running and successful event please use the below checklist for your pre-event preparations.

YOUR STAND - SPACE ONLY

You will be provided with a space on the exhibition floor only. It is your responsibility to utilize and build in this space. Please check your contract for the exact size of your floor space and plan accordingly. What next? 

1. You will be required to provide detailed stand plans for your space that adhere to the Informa Tech DESIGN INSTRUCTIONS (CLICK HERE)

2. Please complete the HEALTH & SAFETY FORM

3. Please read the Informa (CLICK HERE) RULES AND REGULATIONS handbook thoroughly before starting the design.

4. Should you wish to order anything additional please go to the Event Services section on this page.

Please submit all H&S and design documents for all space only stands by 10th September.

REMINDER: Once submitted should your design be classes as complex you will be expected to provide structural calculations for your stand.

IMPORTANT:
Please ensure you order the proper amount of waste containers for during build up and break down. Contractors and exhibitors leaving any waste on their stand will be charged extra. Please note there is CCTV in the halls to ensure leftover rubbish is matched with the contractor.

YOUR STAND - SHELL SCHEME

If you have purchased a shell scheme package, you will be required to complete the below three steps. For examples of how your package will look please see visual of a shell stands, to the right of this text. 

Your shell scheme stand per 9sqm will come with:

1 x White Round Table
1 x Waste Basket
2 x Spotlights
1 x 500W Socket Outlet 

For all stands over 9sqm, please reach out to Brooke or Sam for your inclusions.

YOUR SHELL MEETING ROOM

If you have purchased a shell scheme meeting room package, you will be required to complete the below three steps. For examples of how your package will look please see visual of a shell stands, to the right of this text. 

Your shell scheme meeting room includes:

Meeting Rooms of 9sqm - 17sqm:
2 x 120w spotlights; 1 x 500w single socket outlet, 4 x Sirerra Chair (Black), 1 x 3ft Arizona Table (White), 1 x Waste bin

Meeting Rooms of 18sqm - 26sqm:
3 x 120w spotlights; 1 x 500w single socket outlet, 6 x Cosmo Chair (Black), 1 x Arizona Rectangular Table (White), 1 x Waste bin

Meeting Rooms of 27sqm+:
4 x 120w spotlights; 1 x 500w single socket outlet , 8 x Cosmo Chair (Black), 1 x Arizona Rectangular Table (Black), 1 x Waste bin

1. Your logo will be printed on one of the shell scheme panel close to the door and your meeting room number printed above the door. Please check the logo on the website HERE, as this is the logo we will use for printing.

All meeting rooms will receive a key for the door which will need to be collected from the EESL service desk upon arrival. If keys are lost there will be a £45 charge.

All deadlines for service orders are on the forms, please complete by the deadline in order to finalize your order and avoid any surcharges, late orders may receive a charge of up to 20%.

Contractor Access

People engaging in stand erection and dismantling in the exhibition are not required to pre-register for the event, however they must register for an access badge through the RAI. Please visit the RAI portal HERE (under 'Access and Parking') and ensure all stand contractors have registered here. 

All those requiring access into the halls for build and breakdown will require an access pass and without one, they will be refused entry.

IMPORTANT: If you would like to access your stand before 14:00 on Monday 11 October, you will also need to register for an access badge (along with all of your stand contractors) under the 'Access and safety' tab HERE. This applies to anyone who has already registered for the event - for access during setup, you will be required to be registered again via the RAI for the access badge and your event badge will only provide access after 14:00 on Monday 11 October.

WHAT DOES EACH PASS ALLOW?

The number of passes allocated to you can be found in your welcome email and on the VISIT pass registration portal.

  • BBWF Sponsor Delegate (Hybrid) - Access to both the physical and virtual event agenda sessions and exhibition areas
  • BBWF Exhibitor (Hybrid) - Access to both the physical and virtual event exhibition areas only
  • BBWF Sponsor Delegate (Virtual) - Access to the virtual event agenda sessions and exhibition area
  • BBWF Exhibitor (Virtual) - Access to the virtual event exhibition area only

Note: If you have speakers or panelists as part of your contract you do not need to register them as we will do this for you.

We strongly recommend that you use the Official Freight handler Exhibition Freighting GSM Ltd. for this event. Informa Tech cannot be held responsible for the shipping of any equipment nor are they responsible for the collection and receipt of any deliveries.

We do not recommend sending the shipment direct to your stand, as the venue or Informa Tech will not sign for the goods on your behalf. If you chose to do this, you must be onsite to receive and sign for the shipment yourself at the time it arrives.

  • Please do not deliver any materials to the venue earlier than the 11 October as they will not be accepted or stored by the venue.
  • Please note that post event, Informa or the venue is not responsible for returning your shipments. You must arrange the shipment yourself and then label the boxes and leave them with the hotel concierge for collection and must be collected no later than the 17 October.

About Visit Connect

Exhibitors can verify, rate, prioritize, monitor and respond to leads immediately. Not only that, you can assess the event as it unfolds against their own pre-set targets in order to continually assess return on investment. In short, Visit Connect puts the success of participation in the palm of an exhibitor's hand.

Using the app (iOS and android) exhibitors can scan a visitor badge, retrieve contact data, add notes, answer pre-set questions, set follow up instructions, add voice memos and photos, and even immediately contact the visitor either direct from their device or by exporting their leads.

The Visit Connect portal offers a complete overview of all the devices activated for an event; giving all the detail that is being captured at the event, as it is being captured, so exhibitors can decide how, and when, they follow up on prospect data.

Visit Connect gives exhibitors total control of their leads and stand personnel, pre, at and post event. They can assign lead capture licences, detail lead qualifying questions and answers, set lead targets and use the portal to follow up on leads to get the edge on their competition.

Exhibition and party staff should not use sexualized clothing/uniforms/costumes, or otherwise create a sexualized environment. Participants asked to stop any behavior are expected to comply immediately. If a participant or sponsor engages in behavior that violates this code of conduct,  Informa Tech staff may take action they deem appropriate, including warning the offender or expulsion from the event with no refund.
