Booth Design Approval

All booths larger than 10’ x 10’ (100 sq. ft.) must submit a detailed booth designs to the Informa Exhibit Operations Manager by August 16, 2019 for approval of the design and build.   This submission should include all supporting documents such as structural integrity certificates, special permits, rigging diagrams etc.  Failure to submit the detail, design and documentation could result in denial of build on sight. Submit documentation to jean.cadwell@informa.com

Booth Cleaning

Booth cleaning and trash removal is not part of your Booth contract and is the responsibility of the Exhibitor

Booth Equipment

Each 10’ x 10’ booth will be set with 8’ high black back drape and 3’ high black side drape. The booth will also include a complimentary 7” x 44” two-line identification sign. Electricity, furnishings, displays and any other items needed are the responsibility of the exhibitor.

All exhibitors must carry and maintain insurance. These requirements are stated in the terms and conditions section of the booth contract

Display Vehicles in Exhibitor Booth

You MUST notify Show management that you will have a vehicle in your booth. Send email notification to: Jean.cadwell@informa.com

You MUST obtain a permit from the DC Fire Marshall. Link to obtain permit: https://dcwebforms.dc.gov/fems/permit1/

Liquid- or gas-fueled vehicles, equipment, boats or other motor crafts must be maintained in the following condition when displayed inside the Convention Center

  • Batteries must be disconnected.
  • Fuel in fuel tanks cannot exceed one-quarter tank or 5 gallons (19L) (whichever is least).
  • Fuel tanks and fill openings must be closed and sealed to prevent tampering (tape may be used).
  • Vehicles, fueled equipment, boats or other motor craft equipment cannot be fueled or defueled within the building. Source: Section 314.4 of the International Fire Code The DCFD requires a permit for each vehicle on display.

Forms required to order: In all booths (including booths less than 600sq/ft.) where an Exhibitor Appointed Contractor (EAC) or Decorator is utilized, electricians must install all light fixtures, lit signage, and all other work deemed as electrical jurisdiction

Excessive Trash & Booth Abandonment

Any excessive trash which consists of display materials, carpet, padding, crates and/or pallets will be disposed of and charged both a handling fee and disposal fee during exhibitor move-in. Excessive booth materials and/or literature left in the booth at the end of the published exhibitor move-out that is not labeled for an outbound shipment will be considered abandoned and deemed as trash. The exhibitor will be charged for the removal and disposal of these items. Charges may include Installation & Dismantle Labor, Forklift/Rigging Labor, and/or Dumpster Fee. Exhibit Hall Security

Security Guards and Badge Checkers will be stationed throughout the exhibit hall on a 24-hour basis and will patrol the floor during non-show hours. Every reasonable effort is made to prevent losses. The final responsibility, however, lies with the exhibitor. It is advised items such as laptops, small monitors, or anything which is easily accessible/moveable NOT be left unsecured in a booth during the day or overnight.

Food & Beverage

Food and beverages are not permitted on the premises unless purchased through the Walter E Washington Convention Center (Aramark). Food or beverages may not be brought in or delivered to the Walter E. Washington Convention Center for personal consumption.

FOOD/BEVERAGE DISPENSING 
Exhibitors may not dispense food and/or beverages of any kind, including bottled water, without written permission from the Walter E Washington Convention Center Catering partner (Aramark) Food and/or beverage purchased outside of the Walter E Washington Convention Center may not be brought into/or consumed within the Walter E Washington Convention Center. Walter E Washington Convention Center is solely licensed to sell, dispense, and/or serve alcoholic beverages. DISMANTLE AND MOVE-OUT INFORMATION
All exhibitor materials must be removed from the exhibit facility by Thursday, Sept. 12 at 4 p.m.
To ensure all exhibitor materials are removed from the exhibit facility by the Exhibitor Move-Out deadline, please have all carriers check-in by Thursday, Sept. 12 at 3 p.m.

Photography & Filming

Exhibitors must authorize all photographs of their booth!

Photography and/or filming of any display or product other than the exhibitor’s own is prohibited unless permission has been obtained from Show Management and the firm whose booth is being photographed/ filmed. The exemption to this is the official Show Management photographer/ videographer. Any imagery collected by this photographer/ videographer (who will be properly badged and identified) will be used for the sole purpose of Channel Partners Evolution promotion. photographers/ videographers will NOT be allowed access to the show floor prior to show floor opening, and will only be allowed access during scheduled show floor hours. Please schedule your photography and filming labor accordingly.
