YOUR VIRTUAL SESSION
In order to guide you through the virtual event process, we have put together these instructions on how pre-recording sessions will be curated for the event.
Please only refer to the section(s) that apply to you:
- Presentation Recordings
- Panel Recordings
- Workshop Recordings
TECHNICAL REQUIREMENTS
The below requirements will apply for all sessions
- Make sure the camera is 16x9 (landscape)
- Do not have a bright light behind the presenter
- Mount the camera to ensure a steady video
- Ensure you are positioned in a soft room with no background noise and limited objects
- Be as close to the microphone as possible
- Leave some silence at the beginning and end of the recording for editing and transitions
- If you have access to an ethernet cable for a stronger connection, please ensure you use this
- Please disconnect from any VPNs you may be using or shut down other programmes you have open prior to connecting to the Zoom link for a more stable connection
- Test your connection speed, browser and operating system version, microphone and webcam HERE
PRESENTATION RECORDINGS - Deadline: 11th September 2020
YOUR PRE-RECORDED PRESENTATION
If you have a presentation slot we kindly ask that you record your session at home, including the use of your presentation slides, and send us the file no later than Friday 11th September
Please record your presentation for no longer than 15 mins, which will leave time for 5 mins of live audience Q&A on the day of the event. It is incredibly important that your presentation recording does not exceed the 15 minutes otherwise we will have to ask you to re-record.
Once you have recorded it please check the below specifications:
File type: MP4
File size: No larger than 1GB
And then save your presentation to our Dropbox Folder Here ensuring you rename the file using your first and last name.
Below includes some guidance on how to use Zoom, Microsoft Teams or PowerPoint to record your session:
HOW TO RECORD AT HOME GUIDANCE
We will not be able to make any technical changes to files sent (such as cuts or removing of background noises) so please ensure they are good quality and you adhere to our technical requirements. Some image overlays will be added to files sent.
YOUR LIVE Q&A
All pre-recorded presentations (excluding the Workshop) will have a live Q&A incorporated using Zoom so please ensure you are available on the day of the event to take part:
- You will receive a zoom link to join on the day
- Please join ready for questions and check all settings
- Please join 20 minutes before your Q&A is due to start in order to give time to check all technical requirements
- You will then go live and be streamed through into the session on swapcard

PANEL SESSION RECORDINGS
YOUR PRE-RECORDED PANEL
If you are part of a panel session we will schedule in a time with all participants to record the session on Microsoft Teams.
Once all have confirmed the scheduled time we will update the calendar invite with a link to join us on Microsoft Teams:
- Join the link at the time of the session
- Check all backgrounds and lighting with us
- When everyone is ready we will press record and then drop off the call
- The session will continue to record
- When you come to the end of your session please hang up and the recording will automatically be shared with us

SWAPCARD INFORMATION
The Edge Event is powered by Swapcard.
The platform will be launched and available to all on 15th September 2020 to ensure you have enough time to complete your profiles and familiarise yourself with the platform. Our team will be on hand throughout the whole process to ensure you get the best experience possible!
LOGGING IN TO SWAPCARD
Please follow instructions on the link HERE on how to sign up or log in to your profile.
SPEAKER PROFILES
We have loaded your details, along with your photo and biography, into the platform. If you have not yet sent these through, please send them through before 3rd August.
Alternatively, you can log in on the platform and manually add your photo and bio.
NETWORKING & MEETINGS
In order to make the most out of the event, we hope you will utilise the networking tools before and after your session.
