The Exhibitor Manual will provide you with all the relevant information you may need, so please make sure you read through each section carefully before the event and meet any applicable deadlines.

Security:
Exhibitors should man their stands during coffee breaks, lunches and receptions. Items left on the stand unattended i.e laptop computers are the responsibility of the exhibitor and KNect365 take no responsibility for any loss or damage.

Parking/loading:
Please note the venue has strict regulations and tariffs on their car park - this includes dropping off/picking up for set up and break down. CLICK HERE for further information. Please note the venue or KNect365 cannot be held responsible for any fines incurred by not following the rules.

YOUR STAND

Table Top Package:

Your table top stand is in a 3x2 metre space (unless stated differently in your contract) and will come with:

  • 1 x dressed table
  • 2 x chairs
  • 1 x power socket

1. Please complete the Tabletop Health & Safety declaration form and submit to Leanne Stone by 1st April 2019.

2. Should you wish to place an additional orders (AV, hardwired internet) please see the Event Services section on this page.

Please note that all table top exhibitors are strictly prohibited from hanging or sticking anything to the walls of the hotel.


HEALTH & SAFETY

Please complete the Health & Safety declaration form and submit to Leanne Stone by 1st April 2019.

EVENT SERVICES

AV:
Should you require any AV equipment for your stand please contact Matt Riding at mriding@eventproav.co.uk.

Graphics Printing:
Please contact BlueAnt Design at Jill@blueantdesign.com should you wish to order any graphics or banners for your exhibitor area.

Internet:
There will be complimentary Wi-Fi provided during the event, however should you require a hardwired connection please contact Valentina Andreoli - H5623-SB3@accor.com.

Exhibition Cleaning:
The venue will clear the space at the end of Day 1 and refresh for Day 2. Once the event comes to its conclusion, exhibitors are expected to clear their areas and leave the space as they found it. Please note the hotel charges for any rubbish removal which will be recharged to the exhibitor.

PASS REGISTRATION

Please refer to your contract for how many and which type of pass you have been allocated.

What access does each pass allow?

  • Delegate pass – Allows full access to the Smart Transportation & Mobility and Smart to Future Cities conference, exhibition and lunch
  • Speaker pass – any speaker will be automatically registered for a full access pass. This will not be taken from your pass allocation and you DO NOT need to register the speaker separately.

In the interest of security, badges will be supplied and must be worn at all times at the venue. Please bring a business card or valid ID to the registration desk on arrival. You cannot register on behalf of colleagues.

Please send the most up to date version of your logo and profile to leanne.stone@knect365.com by Friday 15 March 2019. File type requirements are as follows:

1. ai. eps Logo - high res file for banners
2. Jpeg Logo - low res file for website
3. We also require a 50-100 word company profile for the website

We strongly recommend that you use the Official Freight handler Exhibition Freighting for this event. Informa cannot be held responsible for the shipping of any equipment nor are they responsible for the collection and receipt of any deliveries.

  • Should you wish to use an alternative freighting company, please refer to the hotel delivery instructions - CLICK HERE
  • Please do not deliver any materials to the venue earlier than 7:00am on Tuesday 9 April as they will not be accepted or stored by the venue.
  • Please note that post event, Informa or the venue is not responsible for returning your shipments. You must arrange the shipment yourself and then label the boxes and leave them with the hotel concierge for collection.

Please be considerate and careful with your words and actions. Exhibitors in the expo hall, evening party hosts and organizers of concurrent activities should be aware they are subject to the code of conduct. Exhibitors and party hosts may not promote sexualized or offensive imagery or activities. Exhibition and party staff should not use sexualized clothing/uniforms/costumes, or otherwise create a sexualized environment. Participants asked to stop any behavior are expected to comply immediately. If a participant or sponsor engages in behavior that violates this code of conduct, Knect365 staff may take action they deem appropriate, including warning the offender or expulsion from the event with no refund.
